Consider a resolution authorizing the City Manager to issue a Purchase Order to Insane Impact, LLC for the purchase of an LED Video Display Trailer.

This item is for the purchase of a 23' wide x 13' high LED Display Trailer to be used at community special events.  The LED Display Trailer has become an integral part of PARD's 36 special events annually and is used by other departments such as Police for various events throughout the year.  The display is used for a variety of purposes at events including marketing, participant communication, interactive activities and secondary viewing option for larger events where the audience is dispersed over a large area.

 

The City's current 17'x10' LED Display Trailer would remain a City asset and would be used by the Police Department for their events/needs.  For most other large City events (Juneteenth, Light Up the Lake, Veterans Day, etc) were PARD typically uses two screens, we would use both the 23'x13' and 17'x10' screen in lieu of renting additional LED screens.  This will save the City approximately $12,000/year in rental expenses.  The only large event PARD expects to rent a screen would be for July 4th because the event uses three screens.

 

Additionally, the new display will also have improved LED technology and display quality for use during daytime events allowing more flexibility for where the display can be positioned during daytime events.  The size of the new screen would also be comparable to the inflatable movie screen PARD rents throughout the year for "movies in the park" events.  This would allow PARD to use the 23'x13' LED Display Trailer in lieu of renting the inflatable screen saving the City approximately $18,000/year in rental expenses.

 

PARD recommends approval of the agenda item.
