The City of Round Rock is seeking a four year agreement with Xerox Corporation to provide leased copiers, related services and supplies to all departments of the City. Leased copiers for all City departments are used for uniformity, effecient staff training on equipment, professional presentation and to ensure a consistent, appropriate print image to the public. To best meet City needs, the Purchasing divison reviewed proposals from multiple vendors and determined the best value offer was from the Xerox Corporation. The Purchasing division will use The Cooperative Purchasing Network (TCPN) to satisfy bidding requirements and best pricing to award to Xerox Corporation.
The City's current provider is Kyocera at an annual cost of $160,771 per year. With this new agreement with a new provider, the City will spend approximatley $130,000 per year to lease copiers for all departments, resulting in an annual savings of approximately $30,000 per year. Funding for the City wide copier lease will be paid from each department's operating budget.
