Consider a resolution authorizing the Mayor to execute a Microsoft Enterprise Enrollment for participation in volume licensing with SHI Government Solutions.

This item is a 3 year software licensing agreement with Microsoft for the use of Microsoft Office 365 cloud services and software including hosted email, file storage, and SharePoint services. The agreement also provides licensing of Microsoft Windows Operating Systems, the Microsoft Office Suite, and various Microsoft application servers utilized for City operations.  This will be the third agreement that has been brought before Council.  The original agreement was approved in 2011 and has facilitated the desktop and virtual server standardization of Microsoft operating systems and the Microsoft Office suite of productivity software across all City computing platforms.  The City amended the original agreement on March 6th 2015 to include Office 365 cloud services.  This agreement will allow for continued use of Microsoft software and cloud services and provide the necessary licensing required to receive future updates.  Other benefits include employee access to Microsoft online office products and mobile apps, cloud storage, product training libraries, and the home use program which allows every City employee to purchase a single copy of approved Microsoft products for home use at heavily discounted rates.

 

The cost is per DIR contract negotiated pricing (Microsoft DIR Contract Number DIR-SDD-2503).  The cost for the first year of this agreement is $261,362.80 and the estimated cost of the agreement over three years is $785,000.00.
